i apparantly got to the correct entity- they want me to be breif yet concise. well to properly explain the matter will take maybe 5 pages.

per haps that is breif. the space alotted is very small.

The Art of Complaining:

1.  Be concise.

2. Do not be emotional, or rant.

3.  First Sentence should be the exact problem.

4.  Second sentence should be what will make your complaint "go away" - be exact.  What will satisfy you?

5.  The rest should be supporting papers, reasoning, and explanations.  Short paragraphs.  Short sentences.  Just the facts.

6.  Thank them for considering your complaint and for taking appropriate corrective action (assume they will fix whatever it is that is wrong).

7.  Do not overtly threaten.  If you wish to make them aware of other possible negative sanctions you are considering, be very circumspect and polite - even sorrowful - that you might have to consider doing something more.  Better is not to threaten at all.  It's an art, making a threat, without making it seem to be a threat.

Good luck.

Thank you minnetar.  I can write a mean complaint, from experience.  I've also been on the other side, and received complaints.  They key is not to be confrontational, and to extend them good will.  At first, at least.

Threats are an absolute killer, if you don't do it just right.  It makes people want to do just the opposite from what you are asking.

And, never, ever threaten anything that you do not fully plan to do, if the issue isn't resolved.  In other words, never threaten, just let them know what you will do next, if there isn't a satisfactory resolution.  Show that you are a reasonable person, and you've no doubt that it can all be resolved in a friendly manner.

lol it is funny.  my mother, as she ages, has started writing letters with complaints about a lack of customer service or where she thinks she was slighted.  i think part of a response to a complaint depends where you are coming from be it customer, employee, or shareholder.  You are so correct about them having to be worded correctly.

I have found one thing about complaining.
Complaining is a form of blaming, so I try to keep that in mind before confronting someone with my displeasures.

Hi hunkboy,

I am guessing that you are filing a formal complaint against a business or individual?
Perhaps small claims court?

We have a service out here called "We The People", a legal assistance
business that assists with basic paperwork; divorce, land-lord tenent,
bankruptcy and the like.  Do a search in your Yellow Pages, you may
have a similar type of service nearby that charges a small fee.

Ask a friend to assist with the editing of the paperwork, cross all of the
"t's" and dot all of the "i's" before you sign anything.

Wishing you the best possible outcome,

Vendaval

Pretty much what KY said and the links he posted. Stick to the facts, explain how it has affected you and set your expectations for a solution.

I'd add, if the complaint isn't moving along quick enough, take it to the top. Complaints move faster from the top down than from the bottom up.

im up against the clock- i will send "something " in.

im debating if i should take the chance....hmm.

well i must follw thru on it. of the 2 part complaint- the ball is rolling. 1 portion of it- im fairly certain will be resolved. the other portion is harder to measure and more abstract.

i definately have the right department. that is key....

NakedOnMyChain -> RE: help pls- the art of "complaining"- ? (5/3/2007 5:27:15 PM)

I agree with FirmhandKY, but I would add that a healthy dose of honesty mixed with an equal, if not greater, dose of tact is always a nice touch.
